Who is responsible for your information?

North West Tractor Pulling Club is the data controller for Featured Pull Challenge entries. Privacy enquiries and requests can be sent to secretary@nwtpc.co.uk.

What is collected?

Your name, email address, mobile number, prediction, server submission time and protected hashes derived from your device/network information. If you choose to supply a selfie, the image and your separate display permission are also recorded.

Why is it used?

Contact information and predictions are used to operate the free challenge, prevent duplicate or abusive entries, calculate the closest prediction, optionally send an operational entry confirmation, and contact or notify a potential winner. The lawful basis is the organiser’s legitimate interest in administering and safeguarding this event activity. Your details are not added to a marketing list, sold or used for unrelated advertising.

Operational emails

If event email automation is enabled, the system may send a confirmation and a winner notification to the address you provide. These messages are part of administering the challenge, not marketing. Delivery uses the organiser’s configured email hosting provider, and technical delivery records are retained for a limited period for reliability and abuse investigation.

Optional selfie

A recognisable photograph is personal data. Uploading a selfie is optional and has no effect on your chance of winning. It will only be considered for display if you separately consent, and an administrator must approve it before it can appear. You can withdraw that consent at any time by using the privacy contact above. Withdrawal does not affect processing that already took place while permission was valid.

Who can see the information?

Authorised event-system administrators can see entry and contact details. The public and main event screen never show your email address or mobile number. A winner’s name, prediction and approved selfie may be displayed as explained at entry. Information is not routinely shared with other organisations except the hosting/email providers needed to operate the service securely, or where required by law.

How long is it kept?

Prediction records and selfies are normally deleted 90 days after the challenge closes or receives its official result. Records may be removed earlier when no longer required, or retained for longer only where necessary to resolve a complaint, protect the system or comply with a legal obligation.

Your rights

Depending on the circumstances, you can ask for access to your information, correction, deletion or restriction, and you can object to processing based on legitimate interests. You can withdraw selfie display consent at any time. Contact secretary@nwtpc.co.uk and provide enough information to locate your entry.

Complaints

Please raise concerns with the organiser first so they can try and resolve them. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
